What a Company Brain is

Ask a new hire how you price a commercial job under $50k. They will find three answers: a PDF from two years ago, a spreadsheet with someone's initials on it, and whatever the owner says when they finally catch them between calls.
A Company Brain is where the one real answer lives. It sits on top of the tools you already pay for, in accounts you own, and your people and your AI agents can both ask it questions in plain English.
What goes in it
The knowledge your business runs on that nobody wrote down: pricing rules, how you quote a job, what you decided about the supplier in Tampa and why, how a new client gets onboarded, how a complaint gets handled, the voice you write in. Today most of it lives in the owner's head, and the rest is spread across old email threads and half-finished procedure docs.
Once it is organized and permissioned, the whole team can find it, and so can the agents that draft your replies and quotes.
What it looks like day to day
- A new hire asks the pricing question above and gets the current rule, exceptions included.
- You ask what was decided about the Tampa supplier and get the decision and the reasoning behind it.
- An agent drafts a reply to a lead in your voice, with this month's pricing, instead of inventing something plausible.
The interface is usually chat, or a channel in Slack or Teams. Anything that writes back into your systems gets a person's approval first.
The brain remembers, the agents act
The brain answers questions. It does not send email or book jobs on its own. That work belongs to the agents and automations built on top of it, and they are only as good as the brain underneath. An agent with no brain gives confident answers that are wrong. So we build in this order: map how the business runs, organize the knowledge, then put the agents on top. Why it is not another subscription
Most AI tools ask you to move your work into their product: a new login, a monthly bill, your data in their system, and if you stop paying you lose access. A Company Brain sits on top of the CRM, the shared drive, the inbox and the spreadsheets you already have. The accounts stay in your name. If we ever stop working together, you keep all of it.
How we build one
We start by mapping the business: interviews with the owner and the people who do the work, a walk through the operation as it runs, and a search for where the knowledge sits today, in whose head and in which spreadsheet. That takes several sessions and goes deeper than the Assessment. When the map holds, we organize the knowledge and wire the agents on top. Skipping the map is how AI projects turn into expensive toys.
